Falcon Financial Advisers. Growing the firm, not the admin.

A Northern Beaches advice practice has built its whole advice process into Bunya Command Centre, so everyone can see where every client is, who owns the next step and what is ready for review.

The story at a glance

One process, one place to run it.

Falcon Financial Advisers wanted to grow without simply adding headcount and administration. After six months of searching, it chose Bunya, mapped its advice process into 75 steps called The Falcon Engine, and went live on 19 October 2026. By day three the whole team was working in Command Centre. Every document still stops for adviser review, and the firm will measure results once it has three months of data.

The firm

A privately owned advice practice in Balgowlah, NSW, with offices in Dee Why, Newcastle and Coolangatta.

The work

Client management, advice tracking and document preparation, with AI preparing the work for adviser review.

The environment

Inside Falcon’s own Microsoft 365, which the team already knew.

01 · The challenge

Big plans. Too many places to track them.

Falcon Financial Advisers helps individuals, families and business owners across Australia, from young professionals and SME owners to pre-retirees, retirees and the next generation. Its advice covers investment, personal insurance, cash flow and debt, business structuring, retirement and superannuation, aged care and estate planning, working alongside clients’ accountants and solicitors where needed.

The firm has big ambitions: to become the most trusted advice brand in Australia and to build a leading associate program. Charlotte O’Meara, General Manager and Partner, knew that would take a technology stack built for growth, not more people doing more administration.

The advice process had a lot of steps, and knowing where every client, Statement of Advice (SoA), Record of Advice (RoA) and review sat meant checking several places and asking several people. Documents, file notes and meeting packs were prepared by hand and had to match Falcon’s branding and compliance requirements. Follow-up relied on meeting notes, emails and memory.

Before Bunya, the work was spread across several tools:

  • Client files in SharePoint folders, with advice data and paraplanning requests in Xplan.
  • Process documented in Confluence.
  • Status and actions tracked through weekly WIP and daily huddles, then to-do lists by email and a spreadsheet.
  • Documents such as strategy papers, review packs and SoA walkthroughs built by hand from templates.
“As General Manager, too much of my week was spent on operations rather than strategy.”

02 · Why Bunya

Built for advice. Shaped around Falcon.

Falcon had been searching for some time: demos, meetings with technology providers and every advice-tech expo it could attend. Nothing fitted. Then the team saw Bunya already working at another advice firm in its network, which showed it was practical and built for financial advice rather than a generic tool with advice bolted on later.

Four things stood out. Bunya would be shaped around Falcon’s own process, branding, templates and roles, rather than the team changing to fit the software. It runs inside Falcon’s existing Microsoft 365, which mattered for security and data, and meant the team already knew the tools. Human review is built in: nothing goes to a client without adviser sign-off. And the Bunya team understood advice businesses, so it felt like a partnership that could grow with the firm.

“It is hard to explain but from the minute we met the team it just felt right and all the searching of the prior 6 months showed me that all paths led to Bunya for Falcon.”

03 · What was put in place

The Falcon Engine, running in Command Centre.

The project started with Falcon’s process, not the software. Team walkthroughs were workshopped into a 75-step advice process the firm calls The Falcon Engine, and Command Centre was built around it. For Falcon Financial Advisers, about four months. It engaged Bunya in late June 2026 and went live on Monday 19 October 2026.

Today the whole team works in it every day: partners, advisers, associates, the paraplanner, client services and the General Manager.

  • The Falcon Command Centre. The home for client management. It tracks every client, SoA, RoA, review and task against the 75 steps.
  • One source of truth. Client accounts, contacts, advice records and tasks sit in one place behind Command Centre.
  • AI-prepared documents. Client proposals, welcome packs, strategy discussion papers, SoA walkthrough guides, portfolio and annual reviews, insurance needs analysis and file checks are prepared in Falcon’s branding from its approved templates, then stop for adviser review.
  • Reporting. SoA revenue and turnaround, including a twice-monthly revenue report.
  • Training videos built into Command Centre, from getting started to everyday work.

04 · One task, before and after

From the morning huddle to assigned actions.

Charlotte’s example is the daily huddle. It used to end with someone writing up the notes, Charlotte turning them into a to-do list by person and emailing it around. Checking that each action was done meant chasing people and following up at the next meeting.

“This is a game changer for a role like mine. I can move away from operations to strategic work, which is what I have been wanting.”
Charlotte O’Meara · on first seeing it working

Charlotte says Falcon can now get a client proposal out within an hour of the meeting, while the client’s interest is still fresh. That is her observation of the first days, not a measured average.

05 · What the team is seeing

Everyone can see the work. Everyone knows their part.

  • Better visibility. The team can see where every client and every piece of advice is up to, in one place.
  • Clearer responsibilities. Every step can be assigned to a role, so it is obvious who owns the next action. Charlotte says the team understands its role charters better because it lives them in Command Centre each day.
  • Less administration. Drafting and preparation that used to be manual is now prepared for review.
  • Stronger evidence. Key steps carry a ‘Human review required’ tick that records who reviewed the work and when.
  • Consistency. Documents come out in Falcon’s branding, using its approved templates.
  • Adoption. By day three the whole team was using the system, and every existing client had been mapped into it at their current step.

How to read these outcomes. Falcon went live on 19 October 2026, so these are the team’s early observations, not measured results. The firm plans to track SoA turnaround and revenue in its reporting and to share figures once it has three months of data.

06 · Going live

Process first. Then build, test and launch.

Implementation ran from late June to mid-October 2026: discovery, mapping Falcon’s process, building and testing, then go-live. What helped most was workshopping the process first; the team’s walkthroughs became The Falcon Engine.

The built-in training videos covered getting started, everyday work and the AI tools, and Falcon added its own skills library and daily check-ins in the first week. Bunya joined the launch session and fixed issues raised in the check-ins quickly, often the same day.

“This has been the best implementation I have ever experienced in my career. … Everything has not only been stress free for us but Daniel and the team have delighted us with all of the features of the system at every turn.”

07 · Advice for other firms

Start with your process. Then don’t wait.

Asked what she would tell another advice firm considering Bunya, Charlotte didn’t hesitate.

“Don’t hesitate, do it. The investment will pay enormous dividends to your firm even in the first week.”
Charlotte O’Meara · Falcon Financial Advisers

Falcon’s experience also shows where to begin: get the advice process clear, give every step an owner, and keep adviser review in place.

“The magic of Bunya and their Command Centre is that it gives us more of what matters: more time, more care, more consistency and more capacity to deliver exceptional advice when our clients need it.”
